The Easiest Way to Double Your Productivity

Introduction: A Simple Yet Powerful Productivity Technique

Most of the advice you hear in the realm of productivity boils down to working more intensely and eliminating distractions. However, amidst all that conventional advice, there's one technique that can help you get more done in less time with minimal effort. In fact, it might even make your work easier. All it requires is good planning. Today, I’ll teach you this technique, but first, let’s start with a story.

The Origins of Task Batching: Henry Ford’s Assembly Line

Over 100 years ago, Henry Ford adopted a method that revolutionized manufacturing: the assembly line. Inspired by meatpacking plants in cities like Chicago and Cincinnati, Ford placed workers in stationary positions and brought car parts to them via a moving line. The results were astonishing. When applied to the assembly of the Model T chassis, production time dropped from over 12 hours to just 93 minutes. This innovation allowed cars to be produced more quickly and at a lower cost. Although Ford didn’t invent the assembly line, he popularized it, providing a tangible example of a technique that can be applied to virtually any type of work.

Task Batching: What It Is and Why It Works

Ford's assembly line thrived on a concept called task batching. Task batching involves grouping similar tasks together to work more efficiently and save time. Batching eliminates the startup and cleanup costs associated with individual tasks. Every task requires setup time, whether it's gathering tools or organizing your workspace. For example, when filming a video, rather than recording shots in chronological order, it's more efficient to group shots by location and film them in one batch.

Benefits of Task Batching: More Than Just Efficiency

Task batching has several other benefits. One major advantage is reducing cognitive switching. When switching between different tasks, your brain experiences a cognitive switching penalty, causing temporary drops in productivity. Batching tasks minimizes these transitions, allowing you to maintain focus. Additionally, batching tasks by time, like processing emails at a set hour each day, implicitly limits when you engage with distractions, further boosting productivity.

Getting Started with Task Batching: Contexts Matter

To start batching tasks, the first step is to define contexts for your work. A context represents different aspects of a task, and there are several useful ones:

  1. Energy: Some tasks require high mental energy, while others are low-energy. For example, writing is a high-energy task, while bookkeeping is low-energy. Batching tasks by energy level can make you more efficient, especially if you know your biological prime time, a concept from Chris Bailey's book The Productivity Project. By tackling high-energy tasks during your peak hours and saving low-energy tasks for later, you maximize output.
  2. Location: Some tasks require specific locations. For example, I need to be on set to film, but I can write scripts from anywhere with an internet connection.
  3. Tools: Different tasks require different tools. I need a camera for filming, a computer for editing, and sometimes even a power drill for other projects.
  4. Social Interaction: Writing requires isolation, but answering emails or team check-ins require a social mindset. Batching tasks based on the level of social interaction needed is another helpful approach.

A Forgotten Context: Internet vs. Non-Internet Work

Another important context is whether the task requires internet access. Your environment heavily influences focus, so batching tasks that don’t require the internet can reduce distractions and improve productivity.

Organizing and Executing Task Batching

To apply batching, you can label your tasks according to their context. Tools like Todoist allow you to create labels and view tasks by context, making it easier to see your task batches.

Once labeled, decide when and where to complete these tasks. You can either assign specific times for each task or decide on the order in which you will tackle them. For example, I batch video shots by location and shot type to make the filming process more efficient.

An Example from My Workflow

Let’s look at how I batch tasks for my video projects in Notion. For instance, in my TeamSeas video, I categorized B-roll ideas by tags like "film," "overhead," or "whiteboard" and then sorted them by location. This allowed me to gather everything I needed in one go, speeding up the process.

Conclusion: Boost Your Productivity with Task Batching

By adopting task batching, you can dramatically improve your productivity. Whether you’re tackling high-energy tasks, organizing by location, or avoiding distractions by batching non-internet work, this technique will help you get more done in less time. If you’re ready to enhance your workflow, start batching today!
